School fees are created and collected through the SchoolCash Online system from KEV Group (the company that operates it).Ā It integrates directly with the schoolās back-office accounting system to reduce the risk, costs and work associated with managing payments by eliminating cash- and cheque-handling.
All families register for and maintain a SchoolCash Online account.
Go to https://vsb.schoolcashonline.com/
In the bottom left corner, open the Language drop-down menu and choose your preferred language.
Online Help is available through the Support Link where you can search or browse an extensive library of documentation.
Register your own secure personal account by selecting Register on the homepage.
Once you've confirmed your account, add your student(s) to view and pay for school expenses.
You will be prompted for this information upon login. This feature can also be found under the Items or the MY ACCOUNT tab.
Add a Student
Select "Vancouver School Board" from the School Board list.
Select "Quilchena" from the School list.
Enter the 7-digit District Student Number (NOT the 9-digit PEN).
Optionally, check the "I don't have the student number" checkbox.
Enter the First and Last Name and the birthdate of your child.
Click Confirm.
Pay school fees and or other expenses
Pay for school expenses by adding items to your cart and checking out.
Parents and guardians can have separate SchoolCash Online accounts. Personal information and payment histories are account specific and will not be visible to other users.
It is a good idea to log in at the beginning of the year, every year, to check your account settings, update email addresses and change password, even if you do not need to add children who have started, remove (or move) children who have graduated or switched schools.
Ensure your email address is up to date in SchoolCash Online at all times:
Log in at https://vsb.schoolcashonline.com/
In the My Account drop-down, select Profile.
Ensure your Email is current and up to date.
Ensure the rest of your information is current and up to date.
In the My Account drop-down, select Manage Email Notifications.
Ensure the checkbox is CHECKED for "I want to receive email notifications for new fees assigned to my student and updates on school-related activities."
Add ānoreply@schoolcashonline.comā to your Contacts.
Create a filter to prevent SchoolCash Online notifications from being marked Spam.
Families will submit payment via credit card online through a secure payment processor.Ā The SchoolCash Online Receipt Number is requested on most paper forms along with a signature for consent that is associated with the event payment.
All fees charged to families through SchoolCash Online by the school are Required.Ā If you have concerns regarding these fees, please speak with your childās teacher or the School Principal, Mr. Michael Singh.Ā Example: if your child is not going on a field trip or already purchased equipment from a previous year that can still be used.Ā Appendix A has examples from a few years of the fees that historically have been paid.
The Parent Advisory Committee sometimes pays for some of these charges on behalf of all families through fundraising, grants, donations and other community support.Ā The PAC has a donation drive (Annual Quilchena Appeal) once a year where donations are collected via SchoolCash Online (the "Board Donation - E-Quilchena PAC" amounts in Appendix A).
Every year, there is a $35.00 school supplies fee.Ā This is used to purchase basic school supplies, such as pencils, pens, erasers, rulers, blank exercise notebooks, photocopying costs for some learning materials, etc.Ā The school purchases supplies in bulk to take advantage of volume discounts.Ā All students get the same items.Ā Families donāt need to worry about forgetting items, or any choices regarding brands, quality, costs, etc.
In most years, for most classes, there is a $7.00 student planner (agenda) fee for the purchase of an 8.25 x 10.75ā or 7 x 9ā Premier School Agenda.Ā Not all teachers use them.Ā But if they do, each student in the class gets one and is asked to bring their agenda to school and home every day.
Students are required to print reminders, events, project/homework assignments, and various action items for themselves to cultivate organization and executive functioning skills from a young age.
It is also used as a communication tool.Ā Important notices from the teacher to parents (and vice versa) will be in the studentās agenda.Ā Parents are asked to review notices inserted into the pocket at the front of the agenda, review the daily entries, optionally add questions/concerns and (perhaps) to initial/sign the acknowledge box every day.Ā Please check with your childās teacher for specific usage requirements as they can vary from class to class.
There are various fees to pay for specialized activity coaches for the Physical Education program, such as:

Tennis
Ultimate Frisbee
Hip Hop Dance
There are various fees to pay for class field trips.Ā Field trips are an important part of an enhanced school experience.Ā All students of all skill levels are encouraged to participate.Ā These fees may be used to pay for transportation, accommodations, admission fees, equipment and/or gear rentals, etc.
